Position Summary

Job Title: Engineering Assistant Operations Manager



New York University Abu Dhabi (NYUAD) seeks to appoint an Engineering Assistant Operations Manager reporting to the Assistant Director, Dean's Office Administration.


The Assistant Operations Manager provides high level administrative support to the Dean’s Office Operations and will support two Engineering programs on faculty finance, procurement and academic activities.


Training on all aspects of Engineering general and academic administration will be provided. As the Division’s research and academic activities grow in line with the University’s Academic Strategy and mission, there is potential to further develop this position to support the Dean’s Office and Division accordingly.


Key Responsibilities:


Dean’s Office Operations & Finance

  • Monitor and manage divisional budget to ensure expenditures remain within allocated funding and providing quarterly reports to the Assistant Director to enable executive decisions on budget changes
  • Conducting purchases for the Engineering division
  • Ensure all faculty, researchers and staff are up to date with the purchasing policies of the university
  • Manage space allocations for Engineering faculty, instructors and researchers in collaboration with the Assistant Director
  • Manage divisional orientation and onboarding


Faculty Coordinator responsibilities include:

  • Administers faculty reimbursements, payment requests, payment releases etc
  • Maintains compliant financial records for budget and audit purposes including tracking divisional and program budgets and expenses
  • Administers course evaluations and provides regular input and recommendations on developing the process
  • Provides general faculty and operational support including conference and business travel booking, transportation and trouble-shooting when required
  • Course offerings, divisional calendar and room allocations


As a member of the Dean’s Administrative Team, collective support includes the following areas:

  • Accreditation coordination and management
  • Managing Capstone administration


Required Education:

  • Bachelor’s degree or five years’ work experience in a similar capacity

Required Experience:

  • 5+ years of experience in equivalent positions preferably in academia

Preferred Experience:

  • Administrative management and finance experience
  • Excellent communication skills
  • The ability to work independently and also as a team member
  • Excellent attention to detail
  • Ability to maintain confidentiality at all levels
  • Interpersonal skills
  • Microsoft Office skills
  • Time management
  • Travel logistics & knowledge of Arabic Language
