New York University Abu Dhabi (NYUAD) seeks to appoint a Research Appointments Specialist reporting to the Assistant Director, Research Appointments.  The Specialist will support the Office of Research Appointments in all administrative tasks related to researcher appointments in NYUAD. This includes contract management, end-to-end recruitment, and other tasks as assigned.


The Specialist will work alongside another Research Appointment Specialist, under the supervision of the Assistant Director, Research Appointments. The Research Appointments Specialist will be responsible for the day to day administrative operations of the office and in supporting the faculty in their requirements relating to their research personnel. The incumbent is responsible for ensuring the timely, complete, and accurate processing, approval, and reporting of all research hires. The individual is also responsible for having an in-depth understanding of all relevant policies and for functioning as the key liaison for faculty, senior academic administrators and their research-staff on matters relating to research appointments. The Research Appointment Specialist is responsible for providing advice and information in their area required to support the Assistant Director in making informed decisions relative to specific matters.


About the Department:

The office of research appointments is an integral part of the New York University Abu Dhabi. The office assists the faculty in the divisions and the centers in the Research Institute in appointing the various types of researchers to support their research agenda. Currently they are managing circa 700 researchers across NYUAD, and a few based in New York. They are a fast-paced office and pride themselves in delivering services efficiently. 


Key Responsibilities:

  • Coordinate the work of the Office relative to all Research appointment matters (including recruitment plans, advertising, appointments, onboarding, reappointments, renewals, promotion, including providing guidance and advice concerning policy and best practice to the Faculty
  • Serve as key liaison and advisor for academic administrators and their researchers on matters relating to policy matters and specific issues
  • Work collaboratively and consultatively with clients and Human Resources offices to ensure the effective operation of business processes relative to Research appointments
  • Organize and maintain personal folders in the network drive according to set standards (naming convention, folder order), Maintain an up to date hiring tracking sheet
  • Manage the Security Clearance process for candidates and monitor for and approvals
  • Keep the personnel system and files up to date
  • Make sure all the relevant parties have been notified of the onboarding of a new researcher, arrange their name badges and orientation before they join
  • Prepare and manage the process relating to offer and renewal letters, promotion letters, VS letters etc
  • Manage recruitment process on Interfolio
  • Accurate reporting
  • Any other ad-hoc requirements, as required


Required Education:

  • Bachelor’s degree in Human Resources, Business or equivalent years of experience


Preferred Education:

  • Master’s in Business Administration 
  • CIPD certification or similar


Required Experience:

  • Minimum five (5) years’ recent and related experience
  • Knowledge of University policies and procedures
  • Demonstrated achievement in managing complex workflow and being accountable for timelines
  • Clear evidence of success in providing advice on how to respond to / manage cases that diverge from the norm
  • Excellent organization skills (time and task management)
  • Attention to detail
  • Excellent communication and interpersonal skills
  • A capacity to work within complex organizational structure being customer facing and quality of service oriented
  • Be professional, resourceful and able to contribute effectively in a team environment showing mid-level leadership capabilities, having exceptional discretion, confident communication skills
  • Computer and Technical skills (MS Office)
  • Proactive, flexible and adaptable
  • Capable of multi-tasking
  • Good analytical and numeracy skills


Preferred Experience:

  • Previous experience in Higher Education
  • Familiarity and knowledge of UAE Labour Law
