Research Appointments Associate - Office of Academic Appointments

New York University Abu Dhabi (NYUAD) seeks to appoint a Academic Appointments Associate reporting to the Associate Director, Research Appointments. 

The Research Appointments Associate within the Office of Academic Appointments plays a crucial role in providing comprehensive administrative and project coordination support for the recruitment of research personnel across New York University Abu Dhabi's diverse academic divisions and centers within the Research Institute. Reporting directly to the Associate Director, this position also necessitates close collaboration with fellow members of the Research Appointments team. Furthermore, the Research Appointments Associate actively supports the team's operational efficiency by expertly managing a range of essential administrative responsibilities. These tasks include the strategic advertising of open positions on relevant online platforms, the meticulous initiation and tracking of necessary background clearances, the diligent facilitation of internal and external approvals for new hires, and the thoughtful preparation of comprehensive orientation schedules designed to ensure a smooth onboarding experience for new research colleagues.

The ideal candidate will be a highly motivated and organized professional adept at handling administrative duties and individual projects with meticulous attention to detail, strong communication skills, and the ability to thrive in a fast-paced environment.

Key Responsibilities: 

• Support the Research Appointments Team in advertising the position on interfolio, advertising on external site, initiating and monitoring background clearance, facilitate approvals of the hiring requests for Abu Dhabi and NYU, facilitate approvals of supplementary payment forms
• Manage positions on Workday for Research Institute and External grants
• Preparation of orientation schedules
• Monitor and remind hiring managers of contract end dates of researchers
• Monitor end date of contracts
• Leaver cover
• Adhoc support: provide flexible support for additional projects and tasks that may arise, contributing to the overall effectiveness and efficiency of the Research Appointments team
• Adhoc reports

Required Education: 

• Bachelor's Degree in a related field 

Required Experience: 

• 2+ years Administrative or HR experience

• Good organizational and problem-solving skills

• Computer/technology proficiency including Microsoft Office applications, applicant tracking tools including lnterfolio, HRIS, internet research tools, etc

• Proven results inmanaging high-quality, high-volume work, preferably from higher education or related sectors

• Demonstrated success in working in an evolving, fast-paced, and ambiguous environment, strategy planning, project management and problem-solving skills

• Customer focused and process oriented. Superior interpersonal and communication skills (written and verbal). Ability to work independently as well as serving as a member of the team

• Must be well versed in quality data collection to ensure adequacy, accuracy and legitimacy of data in NYU systems and be able to strictly follow data privacy and security procedures for data handling and analysis to ensure adherence to legal and institutional standards
