New York University Abu Dhabi (NYUAD) seeks to appoint a Student Enrollment and Scheduling specialist reporting to the Assistant Registrar.
The Student Enrollment and Scheduling Specialist provides enrollment and operational support to the Registrar and Assistant Registrar by providing necessary assistance for the various operational activities of the Registrar’s Office as required. This includes retrieving and updating information in the complex ERP Student Information System. The Enrollment Specialist also serves as back-up administrative coordinator assuring that the general administrative needs of the Office of Academic Administration are met. They are responsible for the day-to-day management of administrative functions to assist in the delivery of a wide variety of programs within the Office of the Registrar and Office of Academic Administration. A high degree of initiative, independence of action, and ability to achieve results without explicit guidance is expected, as is the ability to work quickly and efficiently and with a very high degree of accuracy, particularly during busy times.
Key Responsibilities:
- Provides support to students and assists with resolving enrollment related issues; this includes utilizing the complex Student Information System (Albert) to enroll students into classes, modify enrollments, update student records in relation to overloads, resolve time conflicts etc.
- Updates and maintains records within the Student Information System (Albert). This includes, for example, entering major declarations, course information, etc. as directed
- Helps maintain the Office web presence through updates to the Academic portion of the public website, the student portal, and the intranet. Has particular responsibility for maintaining online course lists and program requirements. Assists with the publication of web announcements and contributions to the periodic faculty and student newsletters
- Retrieves data from the Student Information System (Albert) to produce reports for Office use and upon request of other University offices; this includes the production of custom reports, and the use of a series of databases. Produces student enrollment verifications and military deferral letters
- Maintains the Office Procedures Manual. Compiles training documentation. Documents existing Office procedures, including process maps. Works with the Registrar and Assistant Registrar – Operations to review and streamline processes
- Helps maintains the administrative calendar for the Office of Academic Administration. Helps to prioritize office activities, purchasing requests, and delegates tasks to student interns consistent with the established administrative calendar
- Provides general administrative support for the Office. Schedule appointments, maintains individual and/or department calendar, and makes arrangements for meetings and travel to and from the University. Prepares binders, organizes meeting materials, and creates presentation materials. Maintains office administrative forms. Performs other clerical duties: photocopies materials, processes forms, maintains office files and records, etc.
- Independently researches topics, coordinates and composes background information for various activities and projects, as assigned
