New York University Abu Dhabi (NYUAD) seeks to appoint an Assistant Manager of Academic Programs reporting to the Director of Academic Programs.

 

The Assistant Manager of Academic Programs is responsible for the full lifecycle management of academic conferences and workshops at the Institute (approx. 25- 30 per year), from development through execution and post-program evaluation. The role ensures that all programs are strategically aligned with the Institute’s mission, meets high academic and operational standards, and fosters engagement with diverse stakeholders.

 

This position exists to provide professional, efficient, and innovative support for academic programming, ensuring smooth coordination, compliance with university policies, and effective representation of the Institute within NYUAD and the broader academic community.

 

Key Responsibilities:

Plan Conference and Workshop Logistics:

  • Manage the planning, coordination, and implementation of academic conferences, symposia, and
  • workshops logistics
  • Liaise with faculty and program organizers to confirm event details, including scheduling, promotional materials, compliance with policies, and special requirements
  • Coordinate with the Director of Events to secure venues, catering, AV support, and other infrastructure needs
  • Create and manage event pages in Salesforce for program promotion
  • Consolidate and communicate event details, such as speaker bios, participant lists, and schedules, to leadership and relevant stakeholders
  • Identify opportunities for continuous improvement to elevate faculty and participant experience while ensuring cost efficiency

On site Program Administration:

  • Manage the on-ground execution of events, including registration, venue setup, AV functionality, and speaker preparation
  • Coordinate ushers and student assistants, assigning clear responsibilities and ensuring smooth program flow
  • Ensure high visibility and responsiveness throughout the program duration
  • Provide staffing support for evening talks and Institute-related events as needed

Conduct Post-Program Evaluation and Reporting:

  • Collect program and participant data as well as feedback to assess program effectiveness and identify areas for enhancement
  • Prepare summary reports, drawing connections between outcomes and goals
  • Apply insights to inform planning of future events and contribute to broader program strategy

Qualifications

Required Education:

  • Bachelor’s Degree in Higher Education Administration, Business Administration, Communications or related field

Preferred Education:

  • Doctoral Degree in Higher Education, International Affairs, Business or related field

Required Experience:

  • More than 5 years of progressively responsible experience in academic program management, higher education administration, or event/project management
  • Demonstrated experience managing budgets
  • Experience using CRM systems, preferably Salesforce, for program management and stakeholder engagement
  • Spoken and written Arabic
  • Strong organizational and project management skills with the ability to manage multiple priorities and meet deadlines
  • Excellent communication and interpersonal skills, with the ability to interact effectively with faculty, students, senior leadership, and external stakeholders
  • Problem-solving skills with the ability to act independently and make decisions under pressure
  • Proficiency with Microsoft Office Suite and familiarity with CRM/databases
  • Ability to supervise and train administrative staff

Preferred Experience:

  • More than one year experience in an international academic environment
  • Experience in developing assessment reports and program evaluation
  • Prior exposure to cultural diplomacy, public engagement, or academic outreach
  • Project Management Certification (PMP, PRINCE2) or equivalent training
  • Knowledge of NYU and NYUAD policies, procedures, and systems
  • Familiarity with events marketing and communications
  • Strong intercultural communication skills and sensitivity to diverse perspectives
  • Ability to represent the Institute with professionalism and serve as an ambassador in external forums
  • Capacity to innovate and improve systems for program management, CRM, and event delivery
