New York University Abu Dhabi (NYUAD) seeks to appoint a Global Programs Support Specialist reporting to the Assistant Vice Provost for Global Education.
The Global Programs Support Specialist provides expert administrative and operational support to the Offices of the Associate Vice Chancellor/Vice Provost for Global Education and Outreach and of the Assistant Vice Provost for Global Education. This position is responsible for managing complex administrative functions and contributing to the operational efficiency of Global Education's diverse programs and initiatives. The Specialist leverages in-depth knowledge of global education operations to resolve issues and enhance program delivery. They will contribute to the smooth execution of daily operations, support financial processes, assist with faculty and staff-related tasks, and help organize key events.
Key Responsibilities:
Operations Management:
- Manages the calendars for the Associate Vice-Chancellor and the Assistant Vice Provost, independently prioritizing appointments and proactively resolving scheduling conflicts
- Oversees all business travel arrangements for the Associate Vice-Chancellor and other senior staff members
- Manages the planning and execution of official visits, including travel, event programming, cultural protocol, and stakeholder management, ensuring alignment with institutional
- objectives and providing a high-level experience for visitors.
- Manages the inventory of the Office of Global Education’s publications and branded merchandise
- Serves as an advisor to visiting students
- Leads special projects as assigned
- Work on weekends and/or holidays may be needed occasionally
- Is cross-trained at the specialist level with other team members to be deployed to those teams during peak program activity times
Events Management:
- Under the supervision of the Assistant Manager of Administration, manages the Office of Global Education’s events, conferences, workshops, and meetings, ensuring alignment with strategic goals, managing all logistical and budgetary aspects, and evaluating event outcomes to inform future planning
Data Collection and Reporting:
- Maintains a systematic archiving system for institutional data and reports, ensuring easy access and retrieval
- Liaises with relevant offices to gather necessary data and follows up on information requests; supports data reporting and visualization
- Produces ad hoc statistics, reports, and presentations as needed
Financial Management:
- Manages procurement and financial operations for the Office of Global Education, including processing payments, reimbursements, credit card reconciliation, budget monitoring, and ensuring compliance with university policies and procedures.
- In support of the Assistant Vice Provost, monitors and accurately reports on all Global Education budgets, recommending corrective actions if needed
