New York University Abu Dhabi (NYUAD) seeks to appoint an Executive Assistant reporting to the Associate Vice Chancellor of Human Resources and CHRO.
The primary focus of this position is to facilitate Human Resources administrative interactions within the Human Resources department in particular and the larger NYUAD community and its various stakeholders/constituents. The position coordinates the administrative requirements of the Associate Vice Chancellor for Human Resources & CHRO and also provides designated business office functions.
Provide high-level secretarial and administrative support to the AVCHR &CHRO including preparation of correspondence, records and other clerical documentation on a daily basis. Manage the diary and work schedule of the AVCHR & CHRO to ensure effective time management is maintained with availability for daily meeting requirements and schedules. Arranging travel and event logistics. Scheduling and providing needed documentary support for meetings, including videoconferences. Processing of mail, correspondence and internal documentation. Maintaining hard-copy and electronic files and document management/retrieval systems.
Handle calls and requests for information. Be the first point of contact for the Human Resource department for incoming correspondence and visitors relating to general HR queries and other related matters. Manage office calendar, contacts and database information. Provide liaison services and coordination as needed between the HR Department and other university offices and senior managers in Abu Dhabi or other locations including New York. Maintain HR records including personnel files, probation and performance review documentation and other paperwork and records relating to NYUAD employees.
Manage the HR department vacation tracking and balances for employee leave eligibility within the department. Provide business office support services for areas designated from time to time.
Support and assist with various projects managed by HR specialists and managers as required. Establish a monitoring and status-of-work reporting system regarding ongoing office projects for which the Executive is responsible. Prepare such information and research reports as the Director may require regarding projects, initiatives, administrative and operational matters.
Monitor the HR budget tracking ensuring budget requirements for the Office of the CHRO and ensure that the budget is managed effectively. Maintain expense and reimbursement records, and managing office budget tracking and reporting. Be responsible for the department expense reports in relation to procurement, purchasing and payment.
Provide overall team support and administrative provisions to assist with team efficiencies and effectiveness. Other duties typically associated with an Executive Assistant role and that may be assigned from time to time as the NYUAD evolves, such as Status Change forms, Org charts, etc. Manage and support any delegations and business visitors related to the executive’s functional responsibility.
