    New York University Abu Dhabi (NYUAD) seeks to appoint an Administrative Coordinator reporting to the Assistant Director, Office of the Provost.


    The Coordinator ensures all administrative tasks are organized and completed on an as and when needed basis.  He/She is responsible for the day to day management of administrative functions to assist in the delivery of a wide variety of programs. A high degree of initiative, independence of action and the ability to achieve results without explicit guidance is expected.


    Key Responsibilities

    • Responsible for operational and administrative activities to include short and long range planning. Development of graphs, tables and other scientific data for manuscripts and presentations. Independently composes correspondence and answer inquiries regarding highly sensitive matters which may have a significant impact on departmental goals
    • Implement and manage efficient and effective administrative support and services
    • Prioritize office activities. Perform special assignments and projects assigned by the Director and his/her designated team members. Prepare reports detailing projects, initiatives, administrative and operational matters
    • Analyze issues, data, research and produce routine reports as required. Customize and/or compose letters on own initiative or in response to administrative matters for supervisor's review and approval. Proofread documents for accuracy and completeness. Perform other general word processing duties. Modify and/or create databases and complex spreadsheets
    • Serve as liaison and coordinate as needed between the Director and other university offices and senior managers in the university
    • Respond to calls and requests for information. Review and process mail, correspondence and internal documentation. Support any delegations and business visitors related to the executive's functional responsibility. Screen visitors to determine how to help or direct them to the appropriate person or office
    • Process invoices and other miscellaneous payments for the department. Responds to department inquiries (mail, phone, email) including communication with international grantees and colleagues. Assists with the development and administration of various departmental programs and prepares reports. Monitor invoices and presents graphic data reports
    • Perform other administrative duties as needed: print and photocopy materials, process forms, maintain office files and records, pick up/deliver mail and materials, etc.


    Required Education

    • Bachelors degree

    Preferred Education

    • Bachelors degree in Administration

    Required Experience

    • 3-5 years’ experience in a comparable position with a proven record of working within and coordinating administration services

    Preferred Experience

    • 3-5 years’ experience in an academic organization
