New York University Abu Dhabi (NYUAD) seeks to appoint a Student Mobility Specialist, reporting into the Assistant Vice Provost of Global Educational Administration.


The Student Mobility Specialist is responsible for the procurement of NYUAD-sponsored home travel, as well as tracking the data for the safety and reliability of flights and the routes taken. They will oversee exception requests, collaboration with external travel agencies, all relevant offices and the student travel policy. The Student Travel Coordinator will maintain home travel records, track travel expenses, analyze travel patterns and recommend policy changes when required.


They will be the first-line response with travel and visa emergencies for students, and be required to produce weekly travel reports for the university leadership, on regional academic and advancement travel for students.




Key Responsibilities:

  • Manages and oversees the procurement of NYUAD-sponsored home travel for all NYUAD students for Fall, Spring, J-Term, and summer onboarding
  • Tracks data for safety and reliability of flight routings and assigns preferred routings for external travel agents to procure
  • Oversees exception requests from students and recommends solutions to all issues related to NYUAD-sponsored home travel
  • Oversees student travel policy and advises students on home travel, advancement travel, J-Term and summer programs travel
  • Oversees the collaboration with external travel agents, the Office of Financial Aid and other relevant offices to manage a timely and budget-sensitive procurement process for NYUAD-sponsored home travel for students
  • Manages the coordination between home travel and NYUAD-sponsored J-Term and summer travel for NYUAD students
  • Manages and coordinates with other NYUAD offices the approval process for NYUAD-sponsored individual advancement travel for students
  • Updates and upgrades the web-based pre-departure orientation component for NYUAD-sponsored advancement travel for students
  • Maintains detailed home travel records and tracks travel expenses for NYUAD students
  • Analyses travel patterns and exceptions, and recommends policy changes as related to NYUAD student travel
  • Arranges and coordinates regional academic travel for students and faculty (coordination of travel, logistics, visas, pre-departure orientation materials)
  • Produces weekly travel reports for the university leadership on regional academic and advancement travel for students
  • Manages data collection and generates statistical data for departmental reporting as needed
  • Provides first-line response with travel and visa emergencies for NYUAD students
  • Monitors and reports on State Department travel advisories for all travel destinations and categories as per above categories
  • Provides support for new programs and initiatives as assigned
  • Supervises student interns in the Office of Global Education (in collaboration with other staff as assigned)
  • May have to work some weekends and evenings when students are traveling to or from their NYUAD-sponsored academic programs


Required Education:

  • Bachelor’s degree

Required Experience:

  • Minimum 3 years of experience with travel procurement and management in the Middle East
  • Solid experience with Microsoft Office suite, Qualtrix, web applications and CMS management
  • Experience working in an academic setting and with college students
  • Excellent attention to detail and consistent accuracy
  • Excellent record keeping and data management skills
  • Excellent written and oral communication skills in English
  • Ability to prioritize and to handle multiple projects on tight deadlines
  • Professional maturity and judgment, including exceptional discretion and a capacity for resourceful initiative in a team context
