New York University Abu Dhabi (NYUAD) seeks to appoint an Director, within the Office of the Provost, reporting directly to the Provost.

 

The Director, Office of the Provost, as a senior member of the Provost’s leadership team, drives the planning, implementation, and ongoing maintenance of NYUAD’s academic strategy. The Director will be the overall steward of NYUAD’s Academic Plan which operationalizes NYUAD’s Academic Strategy.  In this role, the director is responsible for developing detailed plans, holding members of the Provost Office, including the Deans and Vice Provosts, accountable for key deliverables called for in the Academic Plan, and developing valuable performance metrics to measure the plan’s progress.  The Director will also be responsible for overseeing administrative governance for Provostial areas including respective Liaison Committees.  

 

Key Responsibilities:

 

  • Facilitate the execution and administration of the academic strategic initiatives and priorities in collaboration with academic leadership
  • Track the measures, status, and progress of NYUAD’s Academic Strategy in coordination with the responsible units charged with respective implementation tasks and goals
  • Collaborate with the Director of the Office of Institutional Research and Planning to identify, interpret, and apply data required for setting targets and assessing progress
  • Run the Annual Planning Process (APR) for all the academic divisions and coordinate with the Assistant Provost in terms of faculty and administrative resourcing plans.
  • Support the Director, Provost Office Budget, and finance teams in the development of NYUAD’s annual budget and multi-year financial plan
  • Manage the administrative components and communications interface for the Office of the Provost
  • Oversee ongoing projects to ensure the Office of the Provost's agenda is effectively moving forward according to plan objectives, milestones, and measurements
  • Support the Office of the Provost in the prioritization and execution of projects and initiatives from regular executive meetings, periodic academic retreats, and/or committees
  • Research and prepare materials used by the Provost in the management and assessment of appropriate College functions
  • Supervise and provide oversight and coordination for the work of the Executive Assistant (1FTE) and Communications Manager (0.5 FTE shared with Public Affairs)
  • Develop the multi-year and annual academic plan that describes the implementation of the academic strategy including timelines, resource plans, and accountability structures
  • Work closely with the Director, Provost Office Budget and Finance Team to ensure the University’s financial plan adequately and accurately reflects the academic plan
  • Along with the finance teams, advise university leadership on plan adjustments necessitated by financial constraints
  • Track the measures, status, and progress of NYUAD’s Academic Strategy in coordination with the responsible units charged with respective implementation tasks and goals in consultation with the Assistant Provost and Vice Provost
  • Ensure all workstream leads are meeting their obligations under governing documents, timelines, and in full alignment with approved strategies. Collaborates with the Director of the Office of Institutional Research and Planning to identify, interpret, and apply data required for setting targets and assessing progress
  • Responsible for the design and execution of the annual planning process for Provost divisions including planning process calendar, monthly and midpoint program reports
  • Lead the governance of academic strategy workstream meetings, the academic strategy steering committee, and the monthly academic leadership cabinet meeting
  • Conducts follow up, on behalf of the Provost and in consultation with Assistant Provost and Vice Provost, to monitor progress toward and attainment of assigned activities
  • Directs all operations of the Office of the Provost, including management of support and administrative staff, creation of and adherence to policies and procedures, and management of the Provost’s departmental budget to ensure efficiency and effectiveness and optimum use of available resources in consultation with Assistant Provost
  • Incumbent handles a wide range of matters of institutional importance on behalf of the Provost and will represent the Provost in selected internal and external interactions with faculty, staff, students, alumni, University administrators, and professional and community leaders
  • Represent the Provost at meetings as requested
  • Participate and communicate the Provost’s position and priorities
  • Researches and prepares analysis on a variety of matters, including academic and administrative matters
  • Communicate with internal and external individuals to interpret and clarify policies and procedures
  • Monitor and understand the significance of ongoing and emerging issues/ challenges/ opportunities that need attention and resolution by the Provost, communicate regularly with the Provost on those matters to assist the Provost navigate through those issues and determine appropriate course of action, provide recommendations to the Provost and seeks direction on desired responses to deal with those matters either by the Provost or on his behalf
  • Represent the Provost and interacts with various constituents on behalf of the Provost in respect of emerging/ongoing issues
  • Facilitate communication between various constituents
  • Direct the administrative coordination, strategic planning, and execution of the Provost’s Office communication strategy and academic calendar (based on strategic priorities)
  • Research/Draft/edit a variety of non-routine and complex written materials, including briefings, white papers, proposals, articles, and speeches on behalf of and in consultation with the Provost ensuring high-quality communication that is compelling, creative, and original and as appropriate to the situation and reflective of the style of the Provost
  • Review and edit materials prepared for the Provost by others to ensure appropriateness of content and style
  • Conduct periodic audits of routine correspondence or e-mails on behalf of the Provost, ensuring appropriate messaging in terms of contents and style and provides accurate information in a professional manner to the internal/external constituents
  • Anticipate, identify and conduct research on behalf of the Provost on policy and other ongoing/emerging matters of importance to NYUAD, providing data, analysis, and factual information
  • Submit recommendations to Provost based on outcome of research and analytics. Manages special initiatives and institutional projects as designated by the Provost, including planning, research, implementation, review, and follow-up
  • Act as a liaison to the campus community on institutional and/or personal issues of sensitive nature or otherwise
  • Serve as primary point of first contact on behalf of the Provost
  • Articulates the concerns of individuals or groups to the Provost and suggests resolution
  • As required, resolves urgent, sensitive and confidential issues or concerns in consultation with and on behalf of the Provost using judgment and utmost discretion
  • Lead a team of engaged administrative and support staff allocated to the Office of the Provost
  • Develop and support of the principles of diversity, equity, and inclusion through the effective recruitment, selection, and hiring of employees
  • Establish clear performance expectations, provide appropriate feedback, recognition, and rewards
  • Address and resolves performance and/or disciplinary issues
  • Provide opportunities to strengthen performance and promote advancement
  • Demonstrate thorough knowledge base, awareness, respect for and experience in dealing with the local culture

Qualifications

Required Education:

  • Bachelor’s degree or equivalent combination of education and experience

 

Required Experience:

  • 5-7 years of office management experience providing a high level of customer service preferably in an academic and/or a research-driven environment
  • Relevant and recent experience in a higher education institution supporting academic leadership and faculty, participating in strategic planning or an equivalent combination education and experience
  • Experience with an established international company, private organization, or governmental body operating in the U.A.E. Experience working with institutions of multi-national nature
  • Superior verbal and written communication skills in English with demonstrated ability to adapt communication style to address needs of faculty and staff
  • Ability to engage productively with diverse populations
  • Proven organizational skills
  • Demonstrated consultative, analytical and influencing skills
  • Excellent customer service orientation. Ability to work both independently and within cross-functional teams
  • Ability to develop and maintain productive and collegial relationships with counterparts across the institution within NYUAD and NYUNY
  • Ability to interpret policies and procedures
  • Proven ability to operate effectively in ambiguity and work effectively in a culturally diverse workplace
  • Ability to effectively manage, motivate and coach staff under tight deadlines

  • Fluency with MS Office (Power Point, Excel, Word, Access, etc.)
