Cold Chain Management Specialist - Logistics

New York University Abu Dhabi (NYUAD) seeks to appoint a Cold Chain Management Specialist reporting to the Director of Logistics.

The Specialist will be responsible for the logistics of cold-chain import/export orders, including any related export and import documentation required for shipments. In addition, the specialist will handle time-sensitive and temperature-sensitive goods while ensuring the temperature is well maintained within acceptable parameters at all times until delivery to the end-user. Operational administrative duties include communication with freight companies, customs authorities, end-users, and Procurement to support the logistic activities across the multiple business units. The Specialist is required to have a robust knowledge of all available products and services to recommend or advise on the best method of shipment. The role will be reporting to the Director of Logistics, and recommending process and value improvement opportunities, in supporting the achievement of the Department’s mandate and objectives, with the ultimate objective of supporting the academic and research mission of the University.. In addition, the Specialist will concentrate on cold chain management and operational efficiency—safe and damage-free transportation of goods. Promote critical thinking, innovative approaches, and best practices to assist with maintaining a stable and reliable supply chain.

Will cross-train and support International Logistics when needed.  Will provide services that guarantee timely and accurate material delivery and  have a good understanding of transporting complex shipments such as live specimens in cold storage, live animals, and other sensitive goods and provides for regular and timely status updates of goods that are in transit to end-users.  Will arrange for packing, pickup and transport services as required either onsite (NYUAD campus) or at field or vendor locations.  Will arrange for land, air and sea transport, as appropriate and cost effective and efficient, based on the needs of the customer.

The role will require excellent knowledge and understanding of compliance, safety, security, regulatory, and NYAUD's policies.

Key Responsibilities:

• Manage the end to end cold logistics chain from factory to campus, or from campus to other collaborators’ destinations, in compliance with the different applicable export/import control rules, including obtaining any required Ministry Licenses and Permits required for custom clearance. Responsible for ensuring clearance of consignments are completed, and the required documentation is received from vendors and customs’ authorities has the correct documentation in place to meet Country requirements
• Will work closely with freight forwarders to facilitate transportation and storage of temperature-sensitive goods, or goods requiring special handling (i.e. live animal)
• Should communicate and facilitate with the stakeholders regarding logistic support and operational issue with a clear understanding of customer needs and challenges
• Provide customs clearance support to ensure timely and smooth delivery of goods
• Develop and manage standard operating procedures and shipping practices to effectively and efficiently carry out logistics activities. Contribute to any Policy development that guides the development of the standard operating procedures
• Provide direct Logistics support to Procurement for both local and foreign deliveries while ensuring compliance with NYUAD regulations and internal policies
• Proactively work with vendors to identify and eliminate any obstacles in Logistics and demonstrate process improvement and operational efficiencies
• Stay current on constantly changing government requirements of international business markets and provide regular end-user feedback. Create SOP for various work-flows

Required Education:

• IATA Cat Six Dangerous Goods Regulations, Logistics, and Supply Chain Management
• Bachelor degree in Supply Chain Management, or equivalent 

Required Experience: 

• Logistics expert with +5 years working in cold chain management, and Operations
• Able to work under minimum supervision
• Experience in logistics, planning, and scheduling
• Attention to detail and high level of accuracy
• High level of organization and process discipline
• Proficient in MS Office
• Exceptional analytical and problem-solving skills
• Business broad vision and a level of understanding of principles of commercial and operating risk

Preferred Experience:

• Specialist Certificate in Cold Chain Management
• Supply chain experience in higher education in the UAE
• Minimum of 10 years experience in shipping and logistics in a Research Center
