NYU Abu Dhabi seeks to appoint an experienced Talent Acquisition Coordinator reporting to the Head of Talent Acquisition.


The individual will be responsible for managing the end-to-end recruitment administration.  The position will focus on creating job requisitions, preparing advertisements, conducting first round of screening for open vacancies, scheduling interviews, conducting reference checks, preparing offer letters.  In addition, there is a large element of managing the invoices for third party contractors and NYUAD vendors; ensuring that all the scheduled payments are being distributed on a timely basis. 


The successful candidate will also be responsible for short term recruitment projects and assisting the existing team with ad-hoc administration, operations and projects as required.

Key Responsibilities:

  • Coordinate the administration for end-to-end recruitment, ensuring high level candidates are sourced and managed through the recruitment process
  • Create job requisitions and job postings on NYUAD website and other relevant channels, as per directions from the Talent Acquisition team
  • Schedule interviews; conduct first round of screening as and when applicable
  • Search and source candidates through viable channels to ensure strong vacancy pools are maintained
  • Maintain the Applicant Tracking System (ATS) ensuring all candidates, requisitions and postings are processed effectively within appropriate timeframes
  • Coordinate all recruitment administration including offer letters, reference checks, background check coordination, new joiner paperwork and other required administrative duties
  • Administer the full cycle of third party contractor process, starting from on-boarding, managing monthly invoices and off-boarding
  • Assist in the arrangements of recruitment events; this includes track signed contracts, process invoices, prepare flyers, draft invitation letters, liaise with relevant parties on the logistics and prepare the giveaway bag for the event’s visitors
  • Assist team with long-term and ad-hoc projects as required by the team members
  • Oversee the entire Talent Acquisition process in the absence of a Talent Acquisition Specialist
  • Be the first point of contact for speculative inquires received from candidates and vendors
  • Contribute and maintain the monthly, annual and ad hoc recruitment reports
  • Manage and track the Talent Acquisition budget


Required Education:

  • Bachelor’s Degree in Business Administration, Human Resources or other relevant discipline 

Preferred Education:

  • Master’s Degree in Business Administration, Human Resources or other relevant discipline

Required Experience:

  • 2-3 years of relevant experience, preferably within a recruitment agency or in-house for a multinational organization
  • Previous experience as a junior recruiter and/ or managing the administration and operations for a skilled recruitment team
  • Proven ability to provide excellent customer service skills to a diverse population
  • Knowledge of best practice recruitment and sound recruitment processes
  • Strong communication skills with the ability to liaise effectively with colleagues, management, candidates and the general public
  • High level administration and IT skills, in particular experience with using HR Information Systems, Applicant Tracking or Talent Management systems
